Privacy policy

Effective August 27, 2025. Last updated September 14, 2026. This policy explains how Cloud Clinic AI collects, uses, discloses, and safeguards information when you use our website and Android and iOS apps.

1. Information we collect

When you register or use Cloud Clinic services, we may collect full name, email, phone number, date of birth, gender, location, optional profile photo, medical history and health information, appointment details, communications with healthcare providers, and payment information.

We may also collect technical and usage data: device type and operating system, IP address, browser type, app usage statistics, access times, and crash logs.

On cloudclinic.ai, when you submit the contact or demo form we collect the details you provide (name, email, phone, organization, inquiry type, and message) so we can respond.

2. How we use your information

We use information to provide, manage, and improve services; facilitate appointment booking and video consultations; communicate about your account or support needs; send notifications and health-related reminders; secure the platform; and comply with legal obligations.

Website contact submissions are used only to respond to your inquiry and to operate our sales and support process.

3. Website analytics (cloudclinic.ai)

Our marketing website uses first-party analytics to count unique visitors — not every page refresh. A random visitor id is stored in your browser (localStorage) so the same person is counted once per page per day. Approximate geography (city, region/state, country) is inferred from CDN headers or a short-lived IP lookup. We store hashed visitor keys and aggregate counters — not raw IP addresses.

Search-engine and known bot traffic is ignored. This data is not used for advertising. You can clear site data in your browser to reset the visitor id, or block requests to /api/analytics/view.

4. Sharing your information

We do not sell your personal data. We may share information with healthcare professionals to facilitate care; with service providers for payment, storage, analytics, email delivery, and communications; with law enforcement or regulators when required; and with authorized Cloud Clinic personnel on a need-to-know basis.

5. Data security

We use industry-standard measures including encryption for video calls, secure storage and transmission, multi-factor authentication where applicable, and regular monitoring. No system is 100% secure. Use a strong password and keep credentials confidential.

6. Your rights and choices

Depending on your location, you may have the right to access, correct, or request deletion of your data, withdraw consent, and manage cookies and app permissions. Contact info@cloudclinic.ai to exercise these rights.

7. Data retention

We retain data only as long as needed to provide services and meet legal obligations. Website leads are retained while useful for follow-up and then deleted or anonymized. Analytics aggregates may be retained longer in de-identified form.

8. Children’s privacy

Our services are intended for individuals aged 18 and older. We do not knowingly collect personal data from children under 13. If we learn that a child has provided data, we will take action to delete it.

9. Third-party services

The platform may link to third-party sites or apps. This policy does not apply to those parties. Review their policies separately. Optional email delivery for website inquiries may use a transactional email provider when configured.

10. International users

If you access services from outside your country of residence, your data may be transferred to and processed in countries that may not offer the same level of protection as your home jurisdiction.

11. Updates

We may update this policy. When we do, we will revise the last-updated date and notify you of significant changes through the app or website.
